About the Role
Position: Charity & Project Assistant
Reporting to: CEO
Type of role: Six-month fixed-term contract with the potential to extend, subject to funding
Time commitment: 16 hours per week (flexible working available)
Salary: £30,000 pro rata
This role is vital to ensuring the smooth day-to-day running of the charity. You will work closely with the CEO and wider team, supporting our fundraising administrative activity, coordinating financial and administrative processes, and ensuring effective project support, especially for our schools project ‘Guide Me’. This is a great opportunity for someone who is organised, proactive, seeking a flexible working pattern and excited about making a real difference in a small but impactful organisation.

Essential
● Strong administrative and organisational skills, with excellent attention to detail
● IT literate and confidence using digital tools such as Google Workspace, Zoom, Notion, Monday.com(or willingness to learn)
● Excellent written and verbal communication skills
● Numeracy skills and ability to use spreadsheets
● Proactive, flexible and able to manage competing priorities independently

Desirable
● Experience of supporting fundraising, finance, or project delivery in a small charity or similar setting
● Understanding of charity finance and reporting requirements
● Experience supporting grant applications or donor reporting
● Experience working with or in schools or youth-focused projects
● Knowledge or lived experience related to bereavement, grief or mental health support

Requirements
Fundraising & Development Support
● Support the CEO and fundraising lead with the preparation and submission of
funding applications and reports. (No previous fundraising experience
necessary)
● Keep track of deadlines, income projections, and funding requirements
● Maintain accurate grant records and reporting calendars
● Ensure all donors are thanked in a timely fashion and that people undertaking
challenge events are supported before and after their event.
● Work closely with the fundraising lead to ensure our CRM is kept up to date.
Finance & HR Admin
● Liaise with our treasurer and CEO to support the checking and processing of
purchase invoices.
● Liaise with our People lead to manage all people related admin across the
people journey including preparing volunteer and worker contracts, reference
checking, onboarding, off boarding, maintaining documentation and systems.
● Support with hiring processes as and when needed.
Schools project assistance
● Work with the Project Lead to help coordinate the Guide Me programme in
schools in Hertfordshire and Enfield, including scheduling workshops,
maintaining mailing lists, and liaising with partner schools and facilitators.
● Set up weekly meetings and reflection time for the Project Lead and
Facilitators.
● Assist in collecting feedback and compiling data for monitoring and
evaluation purposes on a weekly basis.
● Ensure workshop materials are purchased, prepared and distributed as
needed.
● Ensure facilitators and workers are notified of any changes to scheduling and
assist with pre-school information; such as DBS checks etc.
● Attend All Hands Meeting and relevant project meetings as and when
required.
General Operations
● Manage day-to-day administrative tasks, including diary management,
meeting coordination and minute taking, email monitoring and responding,
scheduling, digital filing, and document management for the team
● Maintain efficient digital systems and processes across the charity

Our journey began 10 years ago when our founder, Louis Weinstock, recognised an urgent need for accessible support for grieving young people. Since then, Apart of Me has grown into a multi-award-winning charity, making a tangible difference in the lives of vulnerable young people.
Our first service, the therapeutic mobile game 'Apart of Me,' guides young people through their grief. With over 150,000 users since its launch, it has won numerous awards, including NHS App of the Month.
